Video Transcription: COVID-19 | Returning to Work

As we’ve been spending the last who knows how many days working from home. Many of us have been wondering “when will we return to the office?” And when we do, what will that look like? While we don’t have a date set for our return to the office, we have developed a set of guidelines following the California state COVID-19 industry guidance for office workspaces.

We’re going to do everything in our power to create a safe and secure workplace for us all. This means the post-COVID-19 office you come to will be a very different place from the one you remember. But that will be for the best. What will our office look like?

Well, first of all, it might be quite empty. Although the office may technically be open, if it isn’t essential for you to come in, we still encourage you to telework. For those of us returning to the workplace, here are some of the key steps the company is taking to ensure your safety.

We are redesigning the workspace to allow for a minimum of six feet of spacing between people. This means, for example, that a typical meeting room will only hold 50% of its normal capacity. We’re also planning alternating work shifts to minimize the density of employees in the office at any given time.

Finally, we’ve arranged to increase the frequency of our cleanings and created guidelines for the sanitation of high-touch surfaces. We’ll also be asking you to do some things; take daily temperature and symptom screenings upon arrival at the office, wear proper face covering, avoid handshakes, regularly disinfect your own work areas with provided supplies, take regular safety trainings.

With more and more people working remotely these days, it’s as important as ever to keep you and your company’s data safe. Around 90% of data breaches are caused by human error. So with that said, here are some examples of the security risks that come with working from home and how to solve them.

The most obvious risks are physical. It’s much easier to have a laptop or phone stolen than a desktop computer that’s permanently located in your office. When working from public places, never leave your devices unattended. Always keep your devices within reach. Put them away and take them with you even if you plan to only get up for a second. Be sure to also watch out for looky-loos peering at your screen.

Avoid working in areas where people can look over your shoulder such as in front of windows or in the middle of a cafe. Even when you’re working from home, be vigilant about children and pets. They can easily delete work by accident or access files that shouldn’t be tampered with.

It’s good practice to create separate accounts for work and personal use with different passwords for each and to get in the habit of locking your screen when you walk away from your computer. You can even place your computer in a locked cabinet or room for extra safety when you aren’t working.

The less obvious risks are digital and can come in many forms. Many personal computers may not have the proper antivirus and anti-malware software installed. This can leave you wide open to phishing scams and hackers hijacking information. Whether you’re using your personal computer or work computer. The best method here is to never open emails from people you don’t trust or click on links or open attachments that seem suspicious.

You should also always use company-approved software for your work. Not all software is developed with the same security standards and third-party software can easily compromise the security of your device. Password security is also extremely important. Leaving post-its with passwords attached to your monitor or reusing the same password for all of your accounts is like having no password at all. It’s best practice to use a password manager, which makes it easy to create and update strong individual passwords for all of your accounts. Just remember that the password manager software you use should be approved by your company ahead of time.

Lastly, whether you’re connecting to the internet through a private home network or a public shared network, VPNs are the best method to keep you as secure as possible. VPNs work by routing all of the data coming from your computer through a private server, essentially blocking any unwanted visitors that may be connected to the same network. Follow these guidelines while working remotely to ensure you work as securely as possible.

Video Transcription: How to Have Difficult Conversations with Your Manager

Mustering up the courage to have a tough conversation with your manager can be nerve-wracking. Whether you want to ask for a raise, discuss a poor performance evaluation or an important issue with a co-worker; your manager isn’t a mind reader. So, it’s probably going to be up to you to initiate that difficult conversation.

Here are five tips to help you get through that tough talk with your manager.

  • Make sure to have a clear plan, purpose, and agenda before you meet. What issue do you need to address? What might a resolution look like for you? As you reflect, take time to adopt a bird’s eye perspective and consider the opposing point of view. If it’s helpful for you to jot down an outline, do so.
  • You can also try rehearsing your conversation with a trusted confidante. Whether or not you used an outline, focus on key points during your conversation. This is not the time to go off on tangents. By all means, tell your story, but bring facts and present your case objectively.
  • Don’t be critical or condescending. If you want to discuss a poor performance evaluation for example: “why did you mark my performance as below expectations this quarter. I did everything I was asked to do. I think you were just too focused on your own issues to notice the value I bring to this company. I was disappointed to read that my performance this quarter was below expectations. Could I share with you now some accomplishments that I couldn’t address in the evaluation and that you might not be aware of? I’m hoping that if I present you with some new information we might be able to adjust the evaluation. Regardless, any advice do you have for me would be much appreciated.”
  • Which brings us to the next point. Remember that this is a conversation and to ask for your manager’s feedback. Really listen and be receptive to what she has to say. Remain calm and be professional. Odds are your manager wants the best for you and your company.
  • During your conversation, if you notice you’re becoming anxious, defensive, or discouraged, recenter yourself and remember to breathe.

By being prepared, focused, objective, perceptive, and professional, you’ll be putting your best foot forward and your manager will be open-minded to hearing your point of view. No matter the outcome, you should be proud of yourself for initiating and successfully handling a tricky conversation.
